The Assistant Facility Manager (AFM) – Soft Services will be responsible for overseeing day-to-day soft services operations within the facility. This includes managing housekeeping, security, pantry, front office, mailroom, pest control, landscaping, and other employee experience-related services. The role ensures high standards of service delivery, vendor management, compliance, and cost optimization while maintaining a safe, clean, and efficient workplace.


Key Responsibilities:


1. Soft Services Operations:
Oversee daily operations of housekeeping, security, cafeteria/pantry, landscaping, and other soft services.
Ensure workplace hygiene, safety, and comfort standards are consistently met.
Monitor helpdesk requests and ensure timely resolution of issues.

2. Vendor & Staff Management:
Supervise vendor staff (housekeeping, security, etc.) and ensure adequate manpower deployment.
Manage vendor performance through Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).
Conduct regular training and briefing sessions for vendor staff.

3. Compliance & Safety:
Ensure adherence to health, safety, and environmental (HSE) standards.
Support audits, inspections, and statutory compliance for soft services.
Maintain updated records for licenses, permits, and compliance documentation.

4. Budget & Cost Control:
Assist in preparing and monitoring budgets for soft services.
Optimize resource utilization and identify opportunities for cost savings.

5. Stakeholder Management:
Act as a single point of contact for employees regarding soft services.
Coordinate with internal stakeholders and management for service improvements.
Support employee engagement activities and facility events.

6. Reporting & Documentation:
Maintain MIS reports on vendor performance, expenses, and service delivery.
Escalate major issues to the Facility Manager for resolution.

Proficiency in MS Office and facility management systems (CAFM/BMS desirable).
